Understanding Credit Card Numbers in Workday

This page explains what are and where to find numbers associated with credit card accounts while using Workday.


University credit cardholders and others working with university credit card transactions in Workday may notice various “account numbers” associated with credit cards and credit card transactions. For security reasons, a cardholder’s 16-digit, sensitive account number is rarely used within Workday, which can cause confusion when a cardholder encounters an unfamiliar number associated with their account. This resource identifies the various numbers associated with credit card accounts and the primary locations within Workday that users will find them.

Types of credit card numbers

U.S. Bank associates three different account identifiers with university credit cards.  All three of these numbers – or portions of them – are viewable in Workday Expenses.

  • Cardholder Account Number: This 16-digit sensitive number is embossed on the credit card and used to make purchases.
  • Cardholder Account ID: This 12-digit account identifier is used by Workday to associate credit card transactions with the appropriate employee in Workday Expenses.
  • Cardholder Account Unique ID: This 16-digit account identifier may be used to identify an account to U.S. Bank Customer Service in lieu of the Cardholder Account Number.

Where to find credit card numbers

When creating an expense report for oneself or for another university credit cardholder, users will note a credit card number in the Credit Card Transactions list. This number is the last four digits of the Cardholder Account ID (not the number embossed on the card).

Within an employee’s Workday profile, users can view a university credit cardholder’s credit card information in the Company Property section:

Under Account Information, the Credit Card line includes the last four digits of the Cardholder Account ID (not the number embossed on the card).  The Description line includes the last four digits of the Cardholder Account Number (the number embossed on the card). The Last 4 Digits of the Credit Card Number line includes the last four digits of the Cardholder Account ID (not the number embossed on the card).

Note: The above screenshot also displays the cardholder’s Account Status, card Expiration Date, and card limits.  The “Monthly Limit” reflects the bi-weekly billing cycle limit associated with the account and is not a true monthly limit.

Users will note various credit card numbers when setting up and viewing Workday reports.  Below are a couple of common examples.

Report Name: Find Credit Card Transactions (UW)

On the report setup, users may narrow the results to a specific credit card account using the Credit Card (search by cardholder) field.  This field will identify the last four digits of the Cardholder Account ID (not the number embossed on the card).

On the report, the Account Last 4 column also identifies the last four digits of the Cardholder Account ID (not the number embossed on the card).

Report Name: Find Credit Cards (UW)

On the report, the Credit Card column also identifies the last four digits of the Cardholder Account ID (not the number embossed on the card).  The Last 4 on Card column identifies the last four digits of the Cardholder Account Number (the number embossed on the card).  The Expense Credit Card ID column identifies the entire Cardholder Account ID (not the number embossed on the card).  The Alternate Account Identifier column identifies the entire Cardholder Account Unique ID (not the number embossed on the card).

Note: The Corporate Credit Card Account Number column identifies UW-Madison’s Managing Account ID and will be the same for everyone.
