Shared Liability Card

This guide details how to apply for a Shared Liability Card, proper card usage, and account management.


A UW–Madison Shared Liability Card, or Corporate Card, is a shared liability VISA credit card issued by U.S. Bank to University employees for UW–Madison business use only.

About the Shared Liability Card

Shared Liability Card benefits

The Shared Liability Card streamlines and automates travel and expense reimbursement for UW employees. Expenses are claimed in Workday and paid directly to U.S. Bank, by the University, on behalf of the cardholder.

VISA also offers several travel-related benefits, including travel and emergency assistance services and auto rental collision damage waivers.

How to get a Shared Liability Card

Employees applying for a Shared Liability Card must complete and submit the Shared Liability Card Request form in Workday. Complete details of the process are outlined in Procedure 3014.1 – Shared Liability Card Application and Account Management.

Before a Shared Liability Card application can be processed, the card applicant must complete Shared Liability Card Training. Find more information in the “Training” section on this page.

Activating the card

U.S. Bank will mail the card directly to the card applicant at the preferred address indicated on the card application. Cards are typically received 7-10 days after applications are processed.

Card activation steps:

  • Call U.S. Bank Customer Service at (800) 344-5696 and follow the automated prompts.
  • Sign the back of the card.
  • Visit U.S. Bank’s Access Online to register and gain online access to the account.
  • The “Organization Short Name” for the Shared Liability Card Program is “STWISC.”

Allowable use

The Shared Liability Card may only be used for expenses related to official University business. Use of the Shared Liability Card for personal purchases is prohibited.

Paying my balance

The University will pay U.S. Bank via Workday on your behalf for allowable, business-related expenses. See Procedure 3024.4 – Working with Shared Liability Card Transactions in Workday Expenses.

Use the U.S. Bank transaction management tool to review Shared Liability Card activity, manage your account, and make payments.

Sign into Access Online

Lost/Stolen card

Report a lost or stolen Shared Liability Card to U.S. Bank Customer Service at (800) 344-5696.

Reporting fraud

Report suspected fraudulent activity to the U.S. Bank Fraud Prevention Unit at (800) 523-9078.

Account maintenance

Contact a Credit Card Administrator to request account maintenance (e.g., account closure, address changes, limit changes).

Training

Shared Liability Card Training is designed for Universities of Wisconsin employees applying to receive a Shared Liability Card. The course provides an overview of policies and procedures users are required to follow in order to use a Shared Liability Card, as well as reconciliation.

Course objectives:

  • Recognize that all transactions must be reconciled, including personal transactions, within 60 days.
  • Identify how to pay Shared Liability card personal expense balances.
  • Summarize the reconciliation process.

This session takes approximately 30 minutes. Approved card applications will be processed after applicants complete the required training.

To access the course(s), please use the following navigation in Workday:

  1. From the Workday Menu, click the Learning app.
  2. Click Discover.
  3. Click Browse Learning.
  4. In the Browse Learning Content window enter “Shared Liability” into the Search field and click enter.
  5. Click UWS – Shared Liability Card Training and proceed with the onscreen prompts.
