Travel and Expense Reimbursement Updates – July 2023
Several travel and expense policy changes went into effect July 1, 2023. The modified policies include Air Travel, Vehicle Use/Rental, and Official Functions and Expenses. Additionally, new student lodging account codes and expense type are now in production.
Notice from Airgas of extraordinary cost increase charge for helium
This is an update notice about events impacting the helium industry and causing supply constraints. While the UW–Madison supply level will continue to be met (or nearly met), pricing will be impacted.
Updating Wisconsin Certificate of Exemption Status (CES) Number
As of July 1, 2022, new 15-digit CES numbers are required when making purchases exempt from Wisconsin sales and use tax. If the new CES is not received prior to any purchase, sales and use tax will be withheld.
ShopUW+ Supplier Manager Function launched May 9
ShopUW+ launched a Supplier Manager module May 9. The Supplier Manager module moves all supplier management processes from the Shared Financial System (SFS) into ShopUW+. New resource web pages offer guidance for ShopUW+ users and Suppliers.
Update on shipping services – UPS not accepting new accounts
(Updated 6/6/22) UPS is no longer setting up accounts to receive discounted rates through E&I. Existing accounts are being migrated to a DOA-managed contract. Users are encouraged to procure services through FedEx, UPS, and USPS to receive the best pricing.
Honma brings experience in accounting and finance to UW
David Honma will join UW–Madison as the new assistant vice chancellor of business services and controller. Honma will replace Dan Langer, who retired.
New “Find Capital Equipment Assets” WISER Tool
A new “Find Capital Equipment Assets” search tool for WISER is now available. This search tool is intended for DPA and financial staff usage. This allows departments to create their own ad hoc reporting on their capital equipment.

Update on available face masks and PPE at ShopUW+
The use of face coverings continues to be part of UW-Madison’s strategy to help slow the transmission of COVID-19. KN95 and N95 masks are available at no cost to employees in certain roles. Surgical grade masks are also available.
